Crunches for Chromosome 18: F45 Fitness Fundraiser

There will be two sessions hosted by our F45 coaches: 1:30 – 2:15 p.m. or 2:30 – 3:15 p.m on Sat, May 3, 2025. Please select your preferred time when you click “get tickets” at checkout.

100% of ticket sales & donations will support the Chromosome 18 Registry & Research Society upcoming conference in Niagara Falls, Ontario in July 2025.

Daycare Policy

Daycare will not be provided by the conference for those requiring fulltime care for affected or sibling children. We’re offering to waive the registration fee for families who choose to bring along an extra family member or friend to take care of the children. Families are also welcome to contract local providers directly.

Topics and Speakers

Over the course of the three days, many different speakers and events are available including four tracks of presentations for families of young children, families of adolescents/young adults, siblings, and self-advocates.

The Sibling Track is planned and run by our adult siblings trained in child development and facilitation. Generally, sessions are geared for ages 13+ unless otherwise noted. There will be a few all-ages sessions where siblings under 13 are invited to attend.

The Self-Advocate Track is for those affected individuals over the age of 14+ who can function independently within the conference environment, or have a parent or caregiver to assist them if they are not independent. There will be breakout discussion sessions for each syndrome group as well as for regional groups.

There is definitely something for everyone! Our schedule is not final and is subject to change. Please check back for our Tentative Schedule with a list of speakers and program tracks closer to the start of Conference.

If you are traveling to Niagara Falls from outside Canada, you will need a valid passport to enter the country. Before travelling internationally, it’s essential to have the correct documentation to ensure a smooth border crossing. Whether you’re travelling alone or with minors, different countries have specific requirements for passports, visas, and consent forms.
For adults, a valid passport is required, and some destinations may also require a visa. Minors travelling without both parents and/or guardians may need additional documentation, such as notarized consent letters.

Conference Extras

Starfish Dinner & Dance

The Annual Chromosome 18 Family Conference culminates in the final night gala, the Starfish Dinner & Dance. This wonderful evening includes a three-course meal, awards presentations, silent and live auctions, and of course LOTS of dancing after a fantastic few days, drawing the conference to a close. The Starfish Dinner & Dance will take place on Wednesday, July 16th, 2025.

The Starfish Dinner & Dance is open to all registered conference attendees, family, friends, community partners, and sponsors. Tickets for unreserved seating are included in your conference registration. In other words, if you’re registered for Conference, you don’t need to buy a separate ticket for the Dinner & Dance. Anyone who is not attending Conference (maybe you have family or friends in the Niagara Falls area) may purchase tickets in a separate portal for $125, which will open closer to the Conference date. This is a perfect opportunity for anyone who is not attending the full Conference to be part of our special event. Family table sponsorships will also be available for those that want their choice of seating.

Family Table Sponsorship: Raise or sponsor at least $1500 and you will be able to pick your choice of table (that seats 8-10 people) in the ballroom for the Starfish Dinner & Dance! This sponsorship allows you to invite guests to join you at no additional costs. The portal to book sponsored family tables will open closer to the Conference date.

Evenings Out - a Series of Special Nights Out in Niagara Falls!

Join Chromosome 18 in Niagara Falls, ON for an incredible series of evenings out! Take in the sights and spend time relaxing and enjoying the company of other Conference attendees after the day’s sessions. Nights Out are optional activities that you can choose to participate in if you so desire.

All event registration must be completed online, prior to the conference. There will be NO on-site events registration this year.

Research Study Participation

Important Information from the Chromosome 18 Clinical Research Center
Are you interested in enrolling in the research study and contributing to a better understanding of chromosome 18 conditions? You can enroll and complete the process at the conference! For those families who are not enrolled in the Chromosome 18 Clinical Research Center, our research center staff will be on-hand to assist you with the enrollment process.

If you are interested in enrolling in person at the conference or would like more information, please contact:

For enrollment, Catherine will need:

  1. Signed consent forms (which will be emailed to you before the conference)
  2. A copy of your child’s cytogenetics report (which you can email to Catherine)
  3. Blood draw (which can be completed at the conference in a private, pre-scheduled appointment)

The blood draw is the final and most crucial part of enrollment. Once the above three items are complete, you will be enrolled in the study and assigned a study number.

It is very important that the signed consent forms and cytogenetics report are returned to Catherine by June 30, 2025 (before the conference begins) so that she may schedule the blood draw.

INFORMATION FOR FIRST TIME FAMILIES

Coming to the Chromosome 18 Conference for the first time is a big decision for a family. It comes with the need to organize travel (this year to Canada, so anyone attending who is not a Canadian citizen MUST have their passports), pay for extra expenses, and face a new situation where you might not know anyone. Why would you want to come to the Chromosome 18 (C18) Conference for the first time and what would you and your family expect to get out of this new experience.

We’ve learned a lot from the over 2000 families from around the U.S. and the world that have attended Conference over the past 30 years. We aim to give you the best possible idea of what to expect from this totally unique and completely immersive experience into the wonderful community that is C18!

What is the Conference? The Chromosome 18 Conference is the highlight of the year for many of our families. The event is organized and designed by volunteers in coordination with the Registry staff. Our families lead the charge in preparing Conference – this unique event is created by Chromosome 18 families to give Chromosome 18 families a time and place to meet other families, find new friends, gain extra support, and learn more about chromosome 18 conditions from the medical experts. The foremost global experts on the chromosome 18 conditions, Dr Cody & Dr Hale, will be available to present updates on research from the Clinical Research Center, as well as answer your questions during sessions and after on a one-on one-basis. At the same time, we have experts from a variety of fields, like occupational therapy, special-needs trusts, autism, mental health, neurology, and more providing educational sessions and Q&As for families on their specialty topics. These sessions take place from morning through the afternoon on Monday – Wednesday of Conference, which breaks in between and during lunch time.

Interactive Sessions are also held to support our C18 Self -Advocates and Siblings as well, to help engage and share their stories with the group while their parents and caregivers are in educational sessions Conference is just as impactful for siblings as it is for self-advocates. The Sibs’ track is three days of education and fun where chromosome 18 siblings (typically 13 and older) will discover their shared journeys and make friendships that last a lifetime. We also have syndrome-specific breakout sessions where you’ll get to meet a group of other parents and caregivers with children who have the same chromosome 18 condition to learn from and support one another and build community that will last a lifetime. And of course, we ensure that you also plenty of time to socialize, have fun as a family, and connect with other families during the Conference schedule, with the 3 days culminating in the Starfish Dinner & Dance, the highlight of Conference.

What to expect as a first-time family: Firstly, a warm welcome to you, as the people you meet at Conference might be the first group that will understand everything you are going though as a chromosome 18 parent or caregiver. Support is offered before you even arrive with a mentoring family that has attended Conference before. You will be connected to this family in case you have questions before you attend. Once you arrive and check in on Sunday afternoon, you will receive all your Conference materials that will include a list of the speakers, list of other attendees, schedule, room map plus lots of other details on events happening during the next few days. Your name tag has an identifier as a new family and when other families see this, many will stop and introduce themselves. Before Conference even starts, we have a welcome session with all the new families – here you will get the opportunity to visit with lots of other families on their first-time journey, just like you.

Conference Highlights – Everybody enjoys different aspects of Conference, but some highlights are the opening reception on Sunday night, the update from the Chromosome 18 Clinical Research Center with Drs. Cody and Hale, Self-Advocate and Sibling panels where you get to hear different perspectives on the chromosome 18 lived experience, and of course, the grand finale – the Starfish Diner & Dance on Wednesday night. The Dinner & Dance isn’t your regular stuffy gala, ours is about families getting out on the dance floor having fun with all the new friends they’ve made at Conference.

What’s it going to cost? The Registry is excited to offer an introductory $100 USD/$145 CAD registration cost per person for first-time Conference attendees! If you book our hotel room as part of the special C18 Room block, the rate includes a hot breakfast during your stay. Lunch is provided for 2 days during Conference, and your entry into all the daily sessions, opening reception and Starfish Dinner & Dance is included in the registration fee. You are responsible for booking your travel and hotel room (free parking at hotel), as Conference registration does not include this. We recommend booking your hotel room as soon as possible, as we have a limited number of rooms in the C18 room block at the special Conference rate that are available to attendees at a first come, first serve basis. Day Sessions – It’s up to you to decide if you want to try and go to all the sessions, some of them, or none at all! We know that while you might plan to attend everything, things happen when you travel with children, and you are under no obligation to attend any session – all are open and available to you if you so choose. Each session is detailed with a topic and speaker bio, which provides details on what the medical professional or expert that is leading the session will cover We will have some quiet rooms with toys for children available for caregivers to use during sessions and more details will be posted about this option on our website closer to the event.

What happens in the evenings? We offer group social activities in the evenings during conference for Men, Ladies, Siblings, and Self-Advocates, with the cost for each normally under $50 per person including food. These evenings out are optional and are not included in the cost of Conference registration – you can choose if you would like to attend or not. Self-Advocate night is also a big hit – your affected family member would need to be independent to attend alone, or if they are unable to do so, they will need a family member to attend with them as a chaperone. Sibling night is also organized for sibs that are independent and/or old enough to attend (typically pre-teens and up). Details of these Nights Out will be posted on the website closer to the date of Conference. Even if you choose not to attend the formal Nights Out, during most evenings you will find plenty of opportunity to socialize with other families together in the bar or pool area.

What will I get out of attending? Many families that have attended Conference say it has changed their lives. That can be difficult to believe, but some families come back every year as their part of their family summer vacation, as they feel deeply connected to the C18 community after the first time. At Conference, you will discover so many different new tips from other families and hear how other parents who know the journey have managed tough situations with their special-needs children and share their solutions. Be prepared for hugs, our self-advocates love to meet new families and make them feel welcome. Conference is a one-of-a-kind opportunity to meet new friends, join the Chromosome 18 community, and come home connected and inspired.

Who should Come? It’s just not for the parents! Bring the whole family including grandparents, siblings, and your affected child. Everybody gets involved and rest assured, your kids will enjoy the Conference just as much (if not more) than you!

Registration

This year, there will be a single registration price for each family member. You will have the option to choose a stipend from the Chromosome 18 Registry for a reduced registration fee, or purchase a ticket at the full regular price. Additionally, this year there will be a special first-time attendee flat-rate price of $100 per person.

2025 Registration Fees

  • Conference Participant (full cost): $400 USD/$570 CAD
  • Conference Participant (reduced cost w/ stipend): $250 USD/$350 CAD’
  • First-Time Attendee Special Rate: $100 USD/ $145 CAD

Stipends, or reduced cost registration fees, are generated from funds raised by the Registry throughout the year and distributed to help offset the price of conference fees. The 2025 registration portal and fees will be available soon.

Due to the exorbitant cost and the lack of use of professional daycare services at past Conferences, there will be no professional daycare services offered at Conference this year. Families should plan accordingly for care, whether that mean bringing another family member to provide care, parents/guardians taking turns between providing care and going to sessions, or planning to bring your child or loved one into sessions with you and stepping out if they are disruptive.

You MUST pre-register online. There will be no on-site registration.

Anyone attending Conference who plans to participate in events and enjoy provided meals needs to register. Children who are participating in the sibling track and will be eating provided meals need to be registered for Conference. Children and infants that will only be with caregivers during Conference and will not be eating provided meals or participating in the Sibling Track do not need to register.

Someone who do not need to register might be, for example, grandparents or others who are coming for the purpose of babysitting your child. They do not need to register if they will NOT:

Attend any sessions (for parents, siblings, or self-advocates)
Eat conference-planned group meals
Attend any evening sessions – such as Ladies’ Night, Men’s Night, Siblings’ Night, etc.

Those not registered for Conference may attend the Starfish Dinner & Dance if they pay for their own seat ($125 each) or as the guest of someone who purchases a Starfish Dinner & Dance Table.

Please note: Reduced-cost stipend registration and the special first-time family pricing will close on June 13, 2025 at midnight (CST). All conference registration will close on June 27, 2025 at midnight (CST). No registration will be allowed after this time.

Q. What can I expect if I attend the Chromosome 18 Annual Family Conference? Expect to have a fun-filled few days where you will meet other chromosome 18 families from around the country and the world who are on different parts of their journeys. Each year we meet in different cities around the U.S (and sometimes Canada) to listen to speakers and medical experts, discuss and share lived experiences, and offer families an opportunity to meet each other. We learn from educators, researchers, medical professionals, and mostly from each other. We strive to better understand our children and loved ones living with chromosome 18 conditions and how we can better support them reaching their full potential. We gain knowledge, perspective, and hope. Most importantly, we have a lot of fun meeting new friends and checking in with old ones from the past!

Q. When is the Chromosome 18 Conference and how long does it last? Conference is typically held in July each year and lasts for 3 days. It always starts with a welcome mixer the night before the full first day, with check-in the same afternoon. This half-day welcome gives us a chance to meet families, say hello, discover new connections, visit with old friends, and get excited for the next three days.

Q. Who may attend the Chromosome 18 Conference? The whole family is invited to attend! This includes parents, children, siblings, caregivers, grandparents, extended relatives, friends, and professionals. Many chromosome 18 self-advocates and siblings look forward to attending Conference each year – they have their own special tracks where they learn and have fun together, making friendships and memories that will last a lifetime You do need to be a member of the Chromosome 18 Registry to attend, however you are NOT required to participate in the research study to join Conference. Joining the Chromosome 18 Registry is free and easy – it just takes 5 minutes to answer a few questions and get connected to the Chromosome 18 community. BECOME A MEMBER

Q. Will daycare be provided? In past years, the Registry has contracted with a private daycare company to provide professional daycare services during Conference. However, due to the exorbitant cost and severely diminished used of these services by parents last year, there will not be any professional daycare services at this year’s Conference. 

As this is a marked change from previous years, we understand and expect that some parents will have to bring their children into some sessions and ask them to sit quietly. If it is an option for you, we recommend coordinating with your partner, grandparents, or other family or friends that might be able to come along to Conference to provide care for your child while you attend sessions. 

Q. How old are the participants in the different tracks – daycare/sitter rooms, Sibling Room and Self-Advocate Room? The care available this year will be available for children or adults in need of supervision across all age ranges, however parents must coordinate with staff directly on-site to ensure they have the capacity to provide care for their children. Infants and very young babies are usually with their parents in the session, or the parents take turns. Many times, families bring an extended family member or caregiver to help. Please note that we cannot and do not provide one-on-one daycare or nursing care. If a child needs to be closely monitored, he/she will come into the sessions with the parents or stay with their relative or caregiver.

The Sibling Room is run by our Sibling Coordinator, Kendall Powell. Kendall typically runs this fun and educational activity track with the help of other siblings. The Sibling Room is comparable to a classroom or summer-camp style space with chats, activities, and education for chromosome 18 sibs – it is not daycare. In general, the sibling track is intended for children approximately ages 13 and up through adults who can function independently in a classroom or summer camp-style environment and do not need supervision from a dedicated caregiver. However, there will be some “all ages” sessions in the Sibling Room that are open to siblings of all ages, and sibs under 13 years old are welcome to join these sessions. Be sure to check the tentative schedule when it is posted as the Sibling Room will have minimum ages listed for each session.

The Self-Advocate Room is run by volunteers (typically parents) who agree to coordinate activities for independent and adult self-advocates during Conference. As there are only as few volunteers to supervise and coordinate a large group of self-advocates, this room is usually intended for children and adults ages 14 and up who can function independently without direct supervision in a classroom or group environment. All self-advocates ages 14+ are invited to join the Self-Advocate activities, however those requiring one-on-one supervision must be accompanied by a parent or caregiver. There might be volunteer help available for self-advocates in need of one-on-one supervision whose parents/caregivers want to partake in the educational sessions – please reach out to office@chromosome18.org if you would be in need of volunteer help in order for your self-advocate to join the room.

Q. What is included in the price of registration? Chromosome 18 recognizes that our Annual Conference is an extremely important educational and networking event. Each family is responsible for their hotel room or lodging – this is not part of the registration fee. The registration fee includes the group meal offered at the Starfish Dinner & Dance, other provided meals as specified, the facility for our sessions, and related supplies, printed materials, and speaker costs. For many years, we have charged each attendee a very nominal registration fee for Conference. It is our desire to make it possible for as many families wishing to attend the Conference to do so. We always offer a stipend to attendees who are current members. This means that, whatever the total cost is, the attendees cover a portion of it, and Chromosome 18 covers a portion. For example, if it is determined that the total expense per person is $350.00, the attendee may pay the offered stipend price of $225.00, and Chromosome 18 would cover $125.00.  Not everyone chooses to use the stipend because they know it is a Chromosome 18 subsidy. Please note that the stipend is a benefit that is only available to Chromosome 18 members and the amount of the stipend may change yearly. This stipend price closes June 13th.

**This year, we are pleased to announce that there will be a special flat rate for families who will be attending the Conference for the first time – $100 per person for first-time families. This first-time rate is to encourage new families to join in this special event and ensure that it is accessible to everyone.

Q. Can you explain what “stipend” means? Think of the stipend as the choice of paying a much lower registration fee than what the actual costs are for the Chromosome 18 Registry to put on Conference. Chromosome 18 provides financial support to registrants in the form of a stipend; the registrant simply pays the lower fee and Chromosome 18 supplies the grant. Choosing to use the stipend means you are using Chromosome 18 revenue that came from fundraising through the year or our generous donors (However, that revenue does not come out of restricted fundraising dollars directed to support the research).

Q. What topics are included in the sessions? The Conference does not follow the same format each year. In the past, our Conference Chairs have done a fabulous job making each year unique and appealing to as many attendees as possible. Some years the setting is a nice hotel in a large city. Other years have had a more rustic flavor in a camp setting. The same goes for the content of Conference. Some years there are many choices according to the age or developmental stage of our children. Some years seem to be more sharing and networking. Other years are so full of educational information that attendees leave with pages of notes. However, some aspects of Conference remain consistent from year to year.  For example, Genetics 101 and the Research Update will be part of Conference every year. A consistent member favorite are the syndrome breakout sessions, when families break into groups according to their children’s syndrome and share stories and information. It is an extremely empowering portion of our Conference. We learn so much from each other in these sessions.

Q. How do I register for the Chromosome 18 Conference? Registration typically opens Spring before Conference. You can register by going to our website home page and following the links. Remember that registering for membership with Chromosome 18 is not the same as registering for Conference – you must be a member of the Registry to join Conference. Registry membership is free and easy, and only takes 5 minutes to sign up. If you have a question about your membership, you may call or email the office at office@chromosome18.org or 210-657-4968.

Q. Do I have to stay at the same hotel as the Chromosome 18 Conference? Being together at the same hotel is so important and lends itself to the very purpose of our Conference. The opportunity to spend time with other families with the same lived experience is well worth the money saved, but time lost, in commuting to the hotel from other accommodations. Most people secure their hotel room first. We strongly encourage you to register for Conference at your earliest convenience. As we only have a limited number of rooms in the Chromosome 18 block.

Q. If I am unable to attend the full Chromosome 18 Conference, can I pay a reduced registration fee? Chromosome 18 does not adjust the fee for days not attended. The registration fee remains the same whether you attend Conference for one, two, or three days.

Q: How do I pay the registration fees for Conference? Do I have to pay all at once? How much does it cost? While in the past we have offered an option to “Pay by Check/Pay in Person” for Conference registration, this option is no longer available. All Conference registration must be paid for at the time you complete your online registration. There will be payment plans available for those that want to divide up the payments over the months leading up to Conference, with the final payment required before Conference begins. Please reach out to office@chromosome18.org if you are interested in setting up a payment plan. Registration costs for Conference this year are as follows:

  • First time attendees – $100 per person
  • Single registration with stipend – $225
  • Single registration at full cost – $350

 

Q. May I receive a refund if I am unable to attend the Conference? Under most circumstances, no refunds are available. If the conditions are extremely serious, feel free to contact the office to discuss the issue: office@chromosome18.org.

Q. Do I register and pay for my infant/toddler that I am bringing to the Conference? If your infant/toddler will NOT be eating food provided at Conference, it is not necessary to register or pay for them to attend. You are welcome to bring your infant with you to the sessions; however, please respect others in the group by taking your infant out if he or she is causing a distraction.

Q. A Grandparent/caregiver is coming to watch our kids. Do they pay the registration fee?

  • Do they want to socialize with other families in the Conference setting? Yes, they
  • Will they be joining us for any meals? Yes, they need to pay the registration fee.
  • Will they be attending any of the sessions? Yes, they need to pay the registration fee.
  • Will they join us for the Starfish Dinner & Dance at the close of Conference? They may buy a standalone ticket for this event if it is the only part of Conference she will be attending.

**Not paying a registration fee for an individual present at the hotel and connected to a chromosome 18 family would indicate that person is taking care of the children (or vacationing) in an atmosphere that is not in any way a part of Conference.

Q: I am a teacher/therapist/nurse etc. to a wonderful child with a chromosome 18 condition and I would love to attend Conference, what is my fee? All professionals are expected to pay the full registration fee as listed on the registration page.

Q. Will I be able to talk to doctors and specialists about my child/child’s condition? While many of our speakers are professionals in their field and will be very willing to chat with you about your child, and discuss general aspects of current research, please remember that this is not a clinical setting, and they cannot dispense individual medical care.
